Job Description
This individual will manage all data related to experiential Pharmacy programs including student placement and collection of assessment data. All data will be analyzed by the Assistant Dean for Experiential Pharmacy Education.

Responsibilities

Effectively collect, organize and archive data associated with the Experiential Pharmacy Education including, but not limited to:

  • Individual affiliated site records
  • Voluntary faculty and preceptors CV’s/datasheets/e portfolios
  • Student data sheets
  • Rotation learning contracts (SIARS)

Effectively use technology to maximize the management of experiential pharmacy programs data.

Monitor and manage the selection and placement processes of students into experiential pharmacy program experiences. Activities include but are not limited to:

  • Enter/review that all student data is correctly entered into the placement software.
  • Verify that students have completed all prerequisite requirements to enter the rotations and maintain an updated electronic database on these data which would include:
    • Background check status
    • HIPAA compliance
    • OSHA compliance
    • CPR/First AID compliance
    • Pharmacy intern permit
    • Up to date Health requirements and physicals
    • Successful completion of the Competency Exam
  • Finalize the placement list of students based on data submitted.
  • Effectively place all students in all levels of experiential training using the College’s selected software program and following established programmatic policies and procedures.
  • Integrate Practitioner Option Pharm. D. student rotations into the experiential pharmacy programs matrix. These data will be supplied by the Practitioner Option Program Director.
  • Maintain a listing of all open rotation opportunities and use such openings when needed for placement of displaced students at the direction of the Assistant Dean for Experiential Pharmacy Education.
  • Provide the Assistant Dean for Experiential Pharmacy Education a summary of all available rotations on a schedule basis for distribution to students on the College’s established rotational change policy

Organize and submit appropriate Preceptor Benefit Program Documentation to the Assistant Dean for Experiential Pharmacy  Education on a scheduled basis. Data include but are not limited to:

  • Preceptor Tuition Credits (April each Year)
  • Educational Stipend Payments (April each Year)
  • Continuing Education Documentation (Quarterly)

Provide The Assistant Dean for Experiential Pharmacy Education summary student lists with X numbers for submission to other pertinent offices within the University including:

  • University Health Office
  • Academic Service Learning
  • Bursar
  • Assistants to the Dean and Assistant Dean for Pharmacy Student Affairs.

Summarize all programmatic assessment data for the experiential programs and submit written reports to the Assistant Dean for Experiential Pharmacy Education.

Be familiar with the ACPE standards, and in consultation with the Assistant Dean for Experiential Pharmacy programs, develop a quantitative system to track and report all pertinent data on an ongoing basis. This plan will be reviewed and approved by the Associate Dean for Pharmacy Education.

Organize the office supply needs for the Office of Experiential Pharmacy Education

Assist the Assistant Dean for Experiential Pharmacy Programs with other tasks as directed.

This individual will not directly communicate with students or preceptors unless directed to do so by the Assistant Dean for Experiential Pharmacy Education. Additionally, all final grade submissions will be collected and entered by a designated faculty member.

Organizational Structure
The individual is employed as an administrator in the Office of the Dean, College of Pharmacy and Allied Health Professions and works under the direction and supervision of the Assistant Dean for Experiential Pharmacy Education.

Qualifications

  • Bachelor’s degree in a relevant field. (Preferred)
  • Previous administrative experience in a health care related environment or in academia
  • Excellent Computer skills with extensive knowledge of database, spreadsheet and word processing applications
  • Effective communication skills.

Salary commensurate with your qualifications, experience, and contingent upon the departmental budget.
