Job Description
Reporting to the Director of Gift Administration, the Gift Processing Assistant IV will be responsible for expert level gift processing and data maintenance in SCT Banner.  Responsibilities include an expert understanding in updating information as it relates to all constituents or organizations.  This person will be responsible for researching gifts, following CASE guidelines and possess a comprehensive understanding of all SCT Banner forms.  The Assistant IV will provide support in implementing new departmental processes and assist in staff training.  This individual must be an experienced data entry specialist that is dedicated, hardworking, motivated and detail oriented.  Confidentiality and trustworthiness are essential to the position.

Responsibilities

  • Maintain and update biographical information with a high level of accuracy.  Including, but not limited to: name changes, address changes, salutations, employment information updates, telephone number changes, E-mail address updates, and the ability to create new records or update existing records in the database.
  • Follow the policies and procedures in coding births, deaths, and marriages.
  • Set up Pledge information in Banner.
  • Follow mail opening procedures, i.e. donor cards, check copies when appropriate, file contributor cards and donation correspondence.
  • Update Banner electronically for high volume biographical updates (Harris Script AZALOAD form).
  • Utilize internet for phone, address, social security deceased information look-up/verification.
  • Process Phonathon lead sheets and set up mass pledges.
  • Process credit card transaction on the credit card online.  Run Access reports and prove to bank totals.
  • Intermediate knowledge of CASE guidelines for gift acceptance.
  • Train new employees on above procedures.
  • Adjust to multiple and changing work demands.
  • Take initiative to identify and implement alternative ways of improving workflow.
  • Analyze multiple problems and prioritize.
  • Work independently on various projects.

Qualifications

  • Minimum High School diploma required; Bachelor’s Degree in Business Administration, Finance, or Accounting preferred.
  • Highly proficient in Microsoft Office, especially Word, including ability to create new mail/merge documents and edit existing for field and layout updates.
  • Proficient in the use of Microsoft Access and Excel, including ability to create basic financial reports and spreadsheets to track workflow.
  • Possess a basic understanding of Development related finance procedures.
  • Possess strong problem solving and analytical skills.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and strong attention to detail.
  • Excellent problem solving and organizational skills.
  • Prior data entry experience.
  • Prior SCT Banner or similar management information system experience preferred.
  • Ability to work on projects individually or with co-workers with minimum supervision.
  • Comprehensive understanding researching biographical and financial history, as it relates to entering constituent gifts.
  • Comprehensive knowledge of gift entering procedures including gifts in kind, gifts with FMV and event donations.
  • Comprehensive knowledge of Acknowledgement / receipt process.
  • Comprehensive knowledge of Matching Gift process.
  • Comprehensive knowledge of Payroll deduction process.
  • Comprehensive knowledge of gifts of securities.
  • Comprehensive understanding of Registrar records research and duplicate record resolution.

Salary
Salary commensurate with your qualifications, experience, and contingent upon the departmental budget.
